Why Production Stalls After Year Six and What to Hand Off First
Updated
Bottom line: Hand off the contract-to-close file first, then routine inbox work, and keep the client conversations. HousingWire reports a median of 11 deals a year for agents six to 15 years in.
Where does production level off for experienced agents?
HousingWire, reporting National Association of REALTORS® figures, puts the median at 11 transactions a year for agents six to 15 years into their careers.
HousingWire reports a median of 10 for agents with 16 or more years in the business.
Experience keeps growing while the deal count holds flat. The useful question then is which of your hours go to work someone else could carry.
What should you hand off first?
Start with the file once it goes under contract. RISMedia describes a transaction coordinator as the person who carries a deal from contract to close.
RISMedia lists deadlines a coordinator keeps every party on, among them inspection periods, financing contingencies and closing dates.
Next comes inbox work. A HousingWire column by Rainy Hake Austin names sorting messages, drafting routine replies and organizing follow-ups as simple starting points.
What stays on your desk?
The same HousingWire column keeps the agent's judgment, client conversations and guidance off the list of things to automate.
Those are the hours a handoff is meant to free. Paperwork moves to someone else so the advice can stay with you.
Why do teams keep growing when solo agents level off?
A HousingWire report on RealTrends data compares the 250 top-producing individual agents with the 250 top-producing teams from 2011 to 2022.
Over that span, HousingWire reports closed transactions grew 13.9% per person for the individual agents and 405.4% per team.
The teams grew where the work was spread across more people.
What does Keller Williams Atlanta North have in place for that handoff?

Questions & answers
What do Alpharetta agents ask about this?
What does a transaction coordinator usually charge per file?
RISMedia's Bill Gassett reports that a coordinator's flat fee per transaction runs from $300 to $1,000 or more. RISMedia says the figure depends on factors in each deal, so quotes vary from one coordinator to the next. Set that fee beside the hours a file under contract takes from your week, and the handoff becomes arithmetic you can do on your own numbers.
RISMedia also reports that some coordinators bill by the hour rather than by the file. When you interview one, ask how they bill and which deadlines they track for you. Then compare the quote with what a closing pays you, file by file.
Will hiring a TC pull me away from my clients?
One agent from REALTOR® Magazine's 2026 30 Under 30 list, profiled in RE/MAX News, had the same worry. The first coordinator hire felt to that agent like stepping out of the deal. What it did instead was move paperwork off the agent's plate. That left more time to spend with clients during the transaction.
Another agent in the same RE/MAX News feature went further and built a team. Her reason was client service: buyers and sellers could draw on several people's strengths. They also got steadier support from start to finish.
What should go on my calendar before I hand anything off?
HousingWire contributor Rainy Hake Austin advises blocking time every day for revenue-generating activity. That block goes in before anything else lands on the calendar. A handoff frees hours, and the daily block gives those hours a job. Without it, the time you bought back has nowhere assigned to go.
Put the block in first, then fill the rest of the day around it. Treat it as an appointment that stays put when the inbox fills up.
